Board of Directors Positions

President

  • Schedule and preside over monthly and any special BOD meetings or club functions.
  • Prepare meeting agendas, review minutes of previous meetings, follow up on action items with other BOD members.
  • Meet with any special committees at his/her discretion
  • Fill appointed positions, e.g. Webmaster, Volunteer Coordinator
  • Present all business announcements at dances/functions or appoint another to do these
  • Appoint committees that become necessary to carry out club business
  • Attend meetings of NRSDA and appoint another representative to be the second representative of PSDC
  • Represent and speak on behalf of PSDC to other organizations or to the general public
  • Work with other BOD members to develop new systems or activities to improve PSDC
  • Conduct all business in accordance with the By-Laws and support the mission of PSDC

Vice President

  • Perform the duties of the President in his/her absence
  • Perform duties as directed by the President and/or the BOD
  • Take charge of PSDC Store as directed by the President

Secretary

  • Be responsible for recording the minutes of each meeting PSDC BOD meetings and maintain a notebook of all minutes
  • Be responsible for correspondence upon request of the President or other BOD member
  • Submit minutes to President following each meeting after approval present them to other BOD members
  • Be responsible for maintaining all necessary forms and files applicable to the non-profit, tax-exempt status of PSDC with all county, state, and federal agencies.

Treasurer

  • Account for all financial transactions of the PSDC, keep a complete set of books, and prepare and present a Treasurer’s report to the Board of Directors or President upon request.
  • Present a financial statement to the Board of Directors at all Board meetings, and at the close of the fiscal year.
  • Receive and bank all funds of the PSDC and be responsible for the collection of all monies due.
  • Be responsible for ensuring that all tax reports and/or other financial reports are accurately completed and submitted in a timely manner.
  • Be a signatory of all checks. Additionally, there may be two (2)-authorized signatories as approved by the Board of Directors, and to be accepted or exercised only in the absence of the Treasurer.
  • Submit an annual budget to the Board of Directors for approval.
  • Be familiar with Quicken or other accounting software used for record keeping
  • Count revenue following each PSDC dance or other event
  • Reconcile accounts, deposit revenues

Director – Membership

  • Create and maintain accurate chronological membership records, mailing lists and billing notifications, and issue membership cards to all members
  • Issue all membership correspondence as necessary
  • Participate in PSDC committee meetings as necessary

Director – Dances

  • Coordinate all persons and/or committees involved in the execution of all PSDC regularly scheduled, twice monthly dances
  • Schedule guest and beginner instructors for each PSDC dance
  • Participate in PSDC committee meetings as necessary. Chair and establish the Decorations & Refreshments Committee

Director – Events

  • Coordinate all persons and/or committees involved in the execution of all PSDC events,
  • Participate in PSDC committee meetings as necessary.
  • Develop activities, such as Jack and Jill competitions, etc. that will encourage dance attendance by membership,
  • Chair the Planning Committee

Director – Facilities

  • Be responsible for securing the facilities and/or venues, sound systems and DJs for all PSDC dances, events and meeting
  • Advise Decorations and Refreshments Committee with regard to access to facilities and any special decorating rules or guidelines
  • Participate in PSDC committee meetings as necessary

Director – Marketing And Promotions

  • Be responsible for developing, promoting and maintaining the PSDC’s visibility and goodwill throughout the local, regional and national swing dance community, including:
  • Publicizing all PSDC dances and events
  • Exchanging flyers to establish and maintain positive inter-club relations with other swing dance clubs
  • Participate in PSDC committees as necessary to improve club visibility and communication

Newsletter Editor/Historian

  • Be responsible for the publication of the PSDC newsletter and maintaining the written and photographic record of events and activities of the PSDC and PSDC members as it relates to West Coast Swing dancing
  • Be responsible for organizing the annual club scrapbook party. Each year, a scrapbook is a put together to commemorate the previous year.
  • Participate in PSDC committee meetings as necessary.
